This policy explains what Helpbee collects, why it is used, and the choices available to you when using the website or Discord app.
1. Information Helpbee collects
- Battle.net account and character data: account identifier, display name, region, a minimal list of World of Warcraft characters used to verify ownership, equipped and average item-level history, seasonal crest progress summaries, and profile refresh timestamps. Helpbee does not retain Battle.net access tokens, detailed equipment lists, or detailed achievement and quest history.
- Roster data: guild and team details, character names, realms, classes, roles, roster status, Helpbee roles, and an encrypted WoWAudit team credential supplied by a roster owner.
- Discord data: linked server and channel identifiers and names, plus the identifier of the preparation preview message maintained by Helpbee. Helpbee does not read or import messages posted in the linked channel.
- Activity data: checklist and Prep completion, Prep posts, roster settings, progression data, and submitted simulation report details.
- Technical data: ordinary request, security, and error information processed by Helpbee’s hosting provider to operate and protect the service.
2. How information is used
Information is used to sign you in, verify character ownership, connect you to a roster, show roster item-level and crest readiness, provide raid preparation features, maintain authorised Discord previews, secure the service, diagnose faults, and comply with legal obligations. Helpbee does not sell personal data or use Prep content for advertising or AI model training.
3. Who can see information
Roster members can see the character names, roles, ranks, item levels, and seasonal crest summaries imported or refreshed for their roster. Discord controls are limited to roster owners and officers. The maintained Discord card contains titles, dates, due dates, and excerpts from roster-visible Prep posts. Anyone who can see the linked Discord channel can see that preview, while the link back to Helpbee still requires sign-in and access to the matching roster.
4. Service providers and sharing
Helpbee uses Cloudflare for hosting and data storage and exchanges limited data with services you or your roster connect, including Battle.net, Discord, WoWAudit, Warcraft Logs, and simulation providers. Data may also be disclosed where required by law, to protect the service and its users, or during a change of ownership. It is not shared for unrelated marketing.
5. Retention and deletion
Data is kept only while it is reasonably needed to provide Helpbee, maintain security, resolve disputes, or meet legal obligations. Disconnecting a Discord channel removes its maintained preview when Discord permits it and stops future updates. Helpbee retains the roster's original Prep posts according to the roster's normal retention settings.
You can request access, correction, or deletion using the support contact listed on the Helpbee Discord application profile. Confirmed account deletions remove the account, verified-character index, personal progress, completion history, roster access, and simulation submissions. If the account owned a roster, Helpbee removes its private WoWAudit credential and stops synchronisation without deleting the roster or other members’ shared history. Shared checklists, Prep posts, and roster-linked character item-level history may remain without account attribution, as may season-scoped crest summaries.
Existing signed sessions are temporarily blocked after deletion so they cannot silently recreate the account. A new, deliberate Battle.net sign-in can create a fresh account later. Some limited records may remain temporarily in backups or where retention is legally required.
6. Security
Helpbee uses roster access checks, encrypted secrets, short-lived signed sessions, signed Discord interactions, restricted bot permissions, and authenticated image delivery. No online service is completely secure, so absolute security cannot be guaranteed.
7. Children
Helpbee is not directed to children under 13. You must also meet the minimum age required by Discord, Battle.net, and the law where you live.
8. Changes and contact
This policy may be updated when Helpbee’s features or legal obligations change. The date above will show the latest revision. For privacy questions or requests, contact the Helpbee operator using the support contact listed on the Helpbee Discord application profile.
